Overview
If PhotoBiz manages your domain’s DNS, you can add records required by a third-party email provider directly from your PhotoBiz account. These records may include SPF, DKIM, and DMARC records used by services such as Google Workspace, Microsoft 365, Zoho Mail, and other business email platforms.
This guide explains how to access your DNS settings and add the email authentication records supplied by your provider. By the end of this guide, your domain will have the records needed to begin authenticating email through your third-party service.
PhotoBiz Mailbox customers do not need to follow this guide. When you purchase a PhotoBiz Mailbox, the PhotoBiz Support Team adds the required email records for you.
Before you begin, make sure you have:
DNS management is only available for domains using PhotoBiz AWS Route 53 name servers. If your domain still uses our legacy Rackspace name servers, the MANAGE DNS option will not appear.

SPF, DKIM, and DMARC are email authentication records. They help receiving email providers confirm that messages sent from your domain are legitimate.
Your email provider will supply the exact record names, types, and values required for your service. Some providers may also require MX, CNAME, or verification records during setup.
Copy each record exactly as it appears in your email provider’s instructions. An incorrect character, missing symbol, or extra space may prevent the record from working.
Do not use example values from another website or email provider. The examples in this guide only show how records are commonly formatted.
A domain should normally have only one SPF record. If an SPF record already appears in your DNS settings, do not add a second SPF record without first confirming the correct combined value with your email provider or the PhotoBiz Support Team.
Log in to your PhotoBiz account and select DOMAINS from the left-side menu.
Locate the domain connected to your third-party email service. Click MANAGE DNS beside the domain name to open its DNS records.
If you do not see MANAGE DNS, your domain may not be using the current PhotoBiz AWS Route 53 name servers.
Click NEW DNS RECORD. Select the record type specified by your email provider.
SPF and DMARC records are normally added as TXT records. A DKIM record may use either TXT or CNAME, depending on the provider. Always select the exact record type shown in your provider’s setup instructions.
Enter the SPF record supplied by your email provider.
The host or name is often entered as @, the domain name, or left blank. The value usually begins with v=spf1 and includes the servers authorized to send email for your domain.
For example, an email provider may supply a value similar to:
v=spf1 include:_spf.example.com ~all
This is only a formatting example. Use the exact SPF value supplied by your email provider.
Save the record before adding the next one.
Click NEW DNS RECORD again and add the DKIM record supplied by your email provider.
The host or name often contains a selector followed by ._domainkey. For example, it may resemble:
selector1._domainkey
The value may be a long TXT key beginning with v=DKIM1, or your provider may instruct you to create a CNAME record that points to another hostname.
Copy the complete host and value exactly as provided, then save the record.
Click NEW DNS RECORD and add the DMARC record supplied by your email provider.
The host or name is normally:
_dmarc
The value normally begins with v=DMARC1 and includes the policy your provider recommends. A basic DMARC value may resemble:
v=DMARC1; p=none;
Some DMARC records also include an email address that receives authentication reports. Use the complete value supplied by your provider, then save the record.
Review the DNS records to confirm that each record type, host, and value matches the information supplied by your email provider.
Return to your email provider’s setup or verification screen and complete any available verification process. DNS updates often begin working within a few minutes, but full propagation across the internet may take up to 48 hours.
After the records are detected, your email provider should show that the domain or authentication records have been verified.
Your third-party email provider may require records in addition to SPF, DKIM, and DMARC. These may include:
Add each record separately using the record type, host, destination, and priority supplied by your provider.
Do not remove or replace an existing DNS record unless your email provider specifically instructs you to do so. Removing the wrong record may interrupt your website or another service connected to the domain.

My Email Provider Cannot Verify the Records
Confirm that the record type, host, and value match your provider’s instructions exactly. Also allow up to 48 hours for DNS propagation.
Some DNS systems automatically add your domain name to the host field. Enter only the host supplied by your provider unless its instructions specifically require the complete domain name.
An SPF Record Already Exists
Do not create a second SPF record. Multiple SPF records may cause email authentication to fail.
Contact your email provider or the PhotoBiz Support Team to determine whether the new service needs to be added to the existing SPF value.
I Use PhotoBiz Mailbox
You do not need to add these records yourself. The PhotoBiz Support Team configures the required DNS records when your PhotoBiz Mailbox is purchased and connected to your domain.
