Overview
You can view and manage customer orders from your PhotoBiz ECOMMERCE Dashboard. Your order history includes transactions from ECommerce, Client Galleries, Scheduler, Forms, and Invoices.
The ORDERS section allows you to search your order history, review customer and payment information, check order statuses, and access individual transaction details.
You can also quickly access your 10 most recent orders directly from the ECommerce Dashboard or use Account Notifications to find recent transactions.
This guide explains how to find customer orders, review their details, use search filters, and access available order management tools.
Log in to your PhotoBiz account and click ECOMMERCE from the left-side menu.
This opens your ECommerce Dashboard, where you can review sales activity, payment statuses, recent orders, and other ECommerce information.
At the top of the ECommerce Dashboard, hover over TRACKING to open the dropdown menu. Click ORDERS.
This opens your order history, where you can browse transactions or search for a specific customer order.
The ORDERS section displays your customer order history, including the order number, date and time, client name, total, merchant, payment status, and order status.
By default, PhotoBiz displays orders from the Last 6 Months, with 25 orders per page.
You can use SEARCH BY to find specific transactions or change the date range. The PER PAGE dropdown menu allows you to display more orders at once.
After selecting your search criteria, click SEARCH to update the results.
Locate the transaction you want to review and click its ORDER NUMBER.
PhotoBiz will open the complete order details, including customer information, payment details, and the items purchased.
From this page, you can also access available order management tools, including updating the payment status, printing the order, and resending the receipt.

Orders that have not yet been opened in your PhotoBiz control panel may display a NEW label.
The checkboxes beside each order allow you to select transactions for available actions, including printing or deleting orders.
When you open an individual order, PhotoBiz displays the information associated with that transaction.
Depending on the type of order, you may see:
Order number and date received
Order total
Payment status and payment method
Customer name and contact information
Billing or shipping information
The event, gallery, or other area where the order originated
Products or services purchased
Item quantities
Unit prices and item totals
Applicable taxes, shipping charges, or discounts
The information available depends on the type of transaction and what the customer purchased.
The top of the order details page includes tools for reviewing and managing the transaction.
Status
Review or manually update the payment status associated with the order.
Changing the payment status in PhotoBiz does not process a payment or refund through your merchant account. It updates the order record.
See How to Manually Update Payment Status on Orders in PhotoBiz for complete instructions.
Print the order information or save a copy as a PDF using your browser.
PhotoBiz provides Full Print and Compact Print formats so you can choose how the information is arranged.
See How to Print a Copy of a Client Order in PhotoBiz for complete instructions.
Resend
Resend the order receipt when a customer needs another copy.
You can review the recipient's email address and customize the message before sending. Resending a receipt does not charge the customer again or create a duplicate order.
See How to Resend an Order Receipt in PhotoBiz for complete instructions.
Digital Download Orders
If a customer purchased a digital product and needs access to the files again, you can manage their download access from the order details.
Depending on the download, you can extend the expiration date or add additional download attempts.
See How to Extend a Digital Product Download Link in PhotoBiz ECommerce for complete instructions.
If you need to cancel an order or mark it as no longer active, we recommend voiding the order instead of deleting it.
Voiding an order preserves its transaction information in your PhotoBiz order history. This allows you to reference the customer, purchased items, payment information, and order details later.
Deleting an order permanently removes its record from PhotoBiz.
How to Void an Order
Open the order you want to void and click STATUS in the upper-right corner.
Click CHANGE STATUS, then use the payment status dropdown menu to select Void.
Click SAVE CHANGES to update the order.
The order will remain in your PhotoBiz order history with a Void payment status.
Important: Manually marking an order as Void does not cancel or reverse a payment through your payment processor. If money has already been collected and a refund is required, process the refund directly through your payment provider.
For additional instructions, see How to Manually Update Payment Status on Orders in PhotoBiz.
How to Permanently Delete an Order
You can permanently delete orders from the ORDERS section of your PhotoBiz ECommerce Dashboard.
Important: Deleted orders cannot be recovered. Only delete an order if you are certain you no longer need its transaction information. We recommend voiding orders instead whenever possible.
Locate the order you want to delete and select the checkbox beside its order number.
Click DELETE at the top of the Orders section.
A confirmation window will appear asking, "Are you sure you want to delete this order?"
Click yes, delete it to permanently remove the selected order, or click cancel to keep it.
Once deleted, the order will no longer appear in your PhotoBiz order history and cannot be restored.
Deleting an order from PhotoBiz should not be used as a substitute for issuing a refund or resolving a payment through your payment processor.
If the Account Notifications section appears on your PhotoBiz home page, you can also use it to quickly access recent customer orders.
Click ORDERS under Account Notifications.
The NOTIFICATIONS panel will open on the right side of the screen and display your 15 most recent order notifications.
Click the customer's name, date, or order number in a notification to open the associated order.
For older transactions, additional search options, or your complete order history, click ECOMMERCE, hover over TRACKING, and click ORDERS.
Some accounts may display Your Website Checklist on the home page instead of Account Notifications.
You do not need to complete the Website Checklist before you can view or manage your customer orders.
You can access your order history at any time through ECOMMERCE → TRACKING → ORDERS.
For information about the checklist, see How to Complete Your Website Checklist in PhotoBiz.
Order notifications and customer orders are separate.
If you delete an order notification from the NOTIFICATIONS panel, the associated customer order is not deleted.
The transaction remains available in your ECOMMERCE Dashboard under TRACKING → ORDERS.
This allows you to clear notifications from your account without removing customer order records.
When a customer completes a paid transaction through PhotoBiz, they receive an order receipt by email.
The receipt email includes a VIEW RECEIPT link that allows them to review their transaction online, including purchased items, payment information, and order totals.
The receipt link remains active for 7 days. If it expires, you can resend the receipt from the order details to provide a new active link.
Customers cannot access your ECommerce Dashboard or internal order management tools through their receipt.
For more information, see How to Resend an Order Receipt in PhotoBiz.
