How to Share Forms and Contracts in PhotoBiz

Overview

PhotoBiz Forms & Contracts allow you to collect information, receive inquiries, gather client details, and send contracts directly from your account. After a form or contract is created, you can share it from the form editor using the Share button.

The Share panel includes several options for distributing your form or contract. You can send an email invitation to specific contacts, copy the public form URL, share the form on social media, download a QR code, or copy embed code for use on a third-party website.

In this guide, you will learn how to share a form or contract using the sharing tools available in your PhotoBiz Forms Dashboard.

Prerequisites

Before you begin, make sure you have an existing Form or Contract created in your PhotoBiz account.

If you plan to send an email invitation, the recipient must not be unsubscribed from your email list. If a contact has previously unsubscribed, they will not receive form or contract email invitations.

Choosing the Best Share Option

Use Email Invite when you want to send the form or contract directly to one or more specific clients.

Use Copy Link Public URL when you want to paste the form link into an email, text message, website button, or other message.

Use Share to Social Media when the form should be available to a wider audience.

Use QR Code when you want people to scan the form from printed materials, studio signage, flyers, or event displays.

Use Embed Code only when placing the form on a third-party website. If you are adding a form to your PhotoBiz website, we recommend using the Form Block in the PhotoBiz Website Builder for best results.

STEP ONE

Log into your PhotoBiz account and click FORMS in the left-side menu.

This will open your Forms Dashboard.

STEP TWO

Click FORMS at the top center of the Forms Dashboard.

This will open your list of forms and contracts so you can choose the one you want to share.

STEP THREE

Search for the form or contract you want to share, or click the form name from your list.

If you have multiple categories or pages of forms, you can use the search bar to quickly find the form or contract you want to send or share.

FINAL STEP

Click the Share button located toward the top right of the form editor.

The sharing panel will open on the right side of your screen. You will see sharing options that allow you to send an email invitation, copy the public URL, share to social media, download a QR code, or copy embed code.

EMAIL INVITE

Use Email Invite when you want to send your form or contract directly to specific contacts or email addresses.

In the email field, begin typing the recipient’s email address. If the person is already saved in your PhotoBiz Contacts, their name will appear and you can select them. If the person is not already saved as a contact, finish typing the email address to add them to the invitation list.

After you have added your recipients, click the CONTINUE button at the bottom of the sharing panel.

Customize The Email Invite

Before sending, you can review and customize the email invitation.

You can update the following fields:

  • FROM NAME
  • FROM EMAIL ADDRESS
  • SUBJECT
  • MESSAGE

When your email invitation is ready, click the SEND button.

After sending, you will see a confirmation screen letting you know that your form or contract email invitation was successfully sent.

Checking Email Invitation Delivery Status

You can also check the status of your email invitation to see whether it was delivered or opened.

What Your Clients Will See

When your client receives the form or contract email invitation, the message will include your logo, branding, and the custom message you entered before sending.

The email includes a link that allows the client to open and complete the form or contract.

Additional Share Options

The Share menu includes several options in addition to Email Invite. These options give you more flexibility depending on how you want clients to access your form or contract.

Share Form or Contract Link

Use Copy Link Public URL when you want to copy the direct public link for your form or contract.

This is the direct link visitors can use to open the form or contract online. You can click the copy button to copy this link and share it anywhere you want clients to access the form, such as an email, text message, website button, social media post, newsletter, or another marketing platform.

Copying the public URL is helpful when you want to share the form outside of a direct PhotoBiz email invitation.

Share to Social Media

Use the social media icons if you want to post your form or contract directly to a supported social platform.

You can share to:

  • Facebook
  • X (Twitter)
  • Pinterest

When you choose a social media option, you will be redirected to that platform’s website to finish creating and publishing your post.

Social sharing is helpful when you want to make a form available to a wider audience, such as an inquiry form, event registration form, giveaway form, model call application, or general contact form.

QR Code

The Share panel includes a QR code for your form or contract.

The QR code is scannable directly from your dashboard and can also be downloaded as a PNG file. When scanned, the QR code opens the public form link.

Downloading the QR code is helpful if you want to add it to printed materials, studio displays, event signage, postcards, flyers, brochures, welcome packets, or other marketing pieces.

The form or contract title controls the public URL. If you change the title after downloading or printing a QR code, the form URL will also change and a new QR code will be generated. Any previously saved or printed QR code may no longer open the correct form.

If you want to reuse a form for a new campaign, event, or season, make a copy of the form instead of changing the title of an existing form. This is especially important if you have already used the QR code on printed materials.

Embed Code

Use Embed Code when you want to place your form on a third-party website.

The embed code is intended for websites outside of PhotoBiz. If you are adding a form to your PhotoBiz website, we recommend using the Form Block in the PhotoBiz Website Builder for best results.

The Form Block is designed to work with PhotoBiz website pages and keeps the form easier to manage inside your PhotoBiz account.

Additional Options and Helpful Notes

The Email Invite option is best for sending your form or contract to specific individuals.

The Copy Link Public URL option is best when you want to paste the form link into an email, text message, website button, or another platform.

The social sharing options are best when you want the form to be available to a wider audience.

The QR code opens the public form link when scanned.

The QR code can be scanned from the dashboard or downloaded as a PNG file for use outside your PhotoBiz account.

The form or contract title controls the public URL. Changing the title changes the URL and generates a new QR code.

If you are using QR codes on printed materials, make a copy of the form when you need a new version instead of renaming the original form.

Troubleshooting and FAQs

What is the difference between Email Invite and Copy Link Public URL?

Use Email Invite when you want to send the form or contract directly to one person or a specific group of recipients. Use Copy Link Public URL when you want to copy the form link and share it manually through another message, platform, or website.

Why did my client not receive the email invitation?

If a contact has unsubscribed from your email list, they will not receive form or contract email invitations. You can also check the contact’s email invitation status to confirm whether the invitation was delivered or opened.

Yes. Copy the public URL and paste it into any platform where you want to share the form or contract.
