How to Add Google Workspace MX Records in PhotoBiz

If you're setting up Google Workspace (formerly G Suite) to use Gmail with your domain and your DNS is managed through PhotoBiz (Version 9 or higher using AWS Route 53), you can add the necessary MX records directly from your PhotoBiz account.

This guide will walk you through how to point your domain’s email to Google Workspace using their official DNS settings.

What Are MX Records?

MX (Mail Exchange) records are DNS settings that direct email sent to your domain to the correct mail server—in this case, Gmail through Google Workspace.

To start receiving mail through Gmail, you’ll need to remove any existing MX records from other services (like PhotoBiz Mailbox, Microsoft 365, Zoho, etc.) and add the one provided by Google.

IMPORTANT NOTES

  • Only One Email Provider at a Time
    Your domain can only point to one email provider. If you already have MX records set up for another service, including PhotoBiz Mailbox, those services will stop receiving email once you switch to Google.

  • Remove Existing MX Records Before Adding Google’s
    Leaving old records in place can cause mail delivery problems or prevent Gmail from working.

  • Google’s Updated MX Records Work for All Accounts
    The DNS values shown below work for both new and legacy Google Workspace accounts.
  • PhotoBiz is Not Affiliated with Google
    While you can manage your domain DNS settings through your PhotoBiz account, we do not provide support for Gmail or Google Workspace setup, troubleshooting, or usage.

DNS management is only available if your domain is using AWS (Route 53) name servers. If your domain is still on our legacy Rackspace name servers, you won’t see the DNS management option.

STEP ONE

Log in to PhotoBiz and Open Domain Settings

  • Log in to your PhotoBiz account.

  • From the left-hand menu, click DOMAINS.

STEP TWO

Open the DNS Zone Editor

  • In the Domains panel, locate your domain.

  • Click MANAGE DNS next to your domain name.

STEP THREE

Delete Any Existing MX Records

  • Review your current DNS entries.

  • Delete all existing MX records, especially those from PhotoBiz Mailbox, Microsoft, Zoho, or any other provider.

STEP THREE

Add a New DNS Record

  • Click the NEW DNS RECORD button.

STEP FOUR

Add Google Workspace MX Records

  • Click NEW DNS RECORD.

  • Select MX from the dropdown menu.

  • Add the following records one by one:
FieldValue
Name / Host / Alias            leave blank
TTL 3600 (or leave default)
Priority 1
Destination smtp.google.com.

Add this record only once—Google now uses a single MX entry instead of multiple ones like before.

STEP FIVE

(Optional) Add SPF, DKIM, and DMARC Records

To improve email deliverability and security, Google recommends also adding:

  • A TXT record for SPF

  • A CNAME record for DKIM

  • A TXT record for DMARC

These records are found in your Google Workspace Admin Console and should be added exactly as shown there.

DNS Changes May Take Time

Most updates go live within a few minutes, but full propagation across the internet can take up to 48 hours.
