How to Collect Sales Tax on Products in PhotoBiz

Overview

PhotoBiz allows you to collect sales tax on products sold through your website and Client Galleries. To collect tax on a product, you must have the appropriate Sales Tax lines configured in your ECommerce Dashboard and set the product to charge tax.

At checkout, PhotoBiz uses the billing information entered by your customer and the Sales Tax lines you have configured to calculate applicable tax. If you have created county-specific Sales Tax lines, customers can also select from those configured counties during checkout.

This guide walks you through enabling sales tax on a product and explains how your Sales Tax lines work with customer billing information at checkout.

Prerequisites

Before you begin, make sure you have created the Sales Tax lines your business needs in the ECommerce Dashboard.

Sales Tax lines contain the locations and tax rates PhotoBiz can use during checkout. Enabling tax on a product does not automatically create or determine a tax rate.

If you have not configured your Sales Tax lines yet, see How to Set Up Sales Tax in PhotoBiz before continuing.

You are responsible for determining which products are taxable, which taxes you are required to collect, and the rates you enter in your PhotoBiz account. If you are unsure about your tax requirements, consult a qualified tax professional or your local tax authority.

STEP ONE

Log in to your PhotoBiz account and click ECOMMERCE in the left-side menu. This opens the ECommerce Dashboard, where you can manage products, orders, payment settings, shipping methods, and Sales Tax lines.

STEP TWO

At the top of the ECommerce Dashboard, hover over SELL ONLINE, then click PRODUCTS.

This opens the Products area, where you can create, edit, and organize the products available through your PhotoBiz account.

STEP THREE

Click the product you want to update.

This opens the product settings, where you can manage the product price, tax and shipping settings, availability, and other product details.

If you are creating a new product instead, click NEW PRODUCT and enter the product information before configuring the tax setting.

Good To Know: If you want to enable sales tax for multiple products in the same product category, select the checkbox next to each product, then click BULK ACTIONS. In the Bulk Actions window, set CHARGE TAX to YES, then click APPLY CHANGES. This allows you to update multiple products at once instead of editing each product individually.

FINAL STEP

Locate CHARGE TAX and select YES.

This makes the product eligible to use the Sales Tax lines you have configured in your ECommerce Dashboard.

Click SAVE CHANGES to update an existing product. If you are creating a new product, click CREATE PRODUCT.

Your product is now configured to charge applicable sales tax. When a customer checks out, PhotoBiz uses the billing information they enter along with your configured Sales Tax lines to determine which tax, if any, applies to the order.

How Sales Tax on Products Works

Collecting sales tax on a product requires two separate settings:

  • CHARGE TAX determines whether the individual product can be taxed.
  • Your Sales Tax lines determine the locations and tax rates that can apply during checkout.

Both must be configured correctly for tax to be collected.

Setting CHARGE TAX to YES does not create or determine a tax rate. PhotoBiz uses the Sales Tax lines you have entered in the ECommerce Dashboard.

Creating a Sales Tax line also does not automatically make every product taxable. Each product that should use your configured Sales Tax lines must have CHARGE TAX enabled.

This allows you to have both taxable and non-taxable products in the same PhotoBiz account.

How Customer Billing Information Affects Sales Tax

When a customer checks out, PhotoBiz uses the billing information they enter to determine which of your configured Sales Tax lines can apply.

Generally, the customer's country and state or province determine which Sales Tax lines are used.

PhotoBiz does not automatically determine the tax rates your business should collect. The checkout uses the Sales Tax lines you have configured in your account.

How County-Specific Sales Tax Works

If you have created county-specific Sales Tax lines, customers will see a county dropdown during checkout.

The county dropdown only displays the counties you have added as Sales Tax lines in your account. PhotoBiz does not automatically populate the dropdown with every county in a state.

The customer selects their county, and PhotoBiz uses that selection along with their billing country and state or province to determine which configured county tax applies.

If you are required to collect county-specific sales tax, make sure you create a Sales Tax line for each applicable county where you need to collect it.

Additional Options and Helpful Notes

  • You can enable or disable CHARGE TAX separately for each product.
  • Enabling CHARGE TAX does not create a Sales Tax line.
  • Sales tax is calculated from the Sales Tax lines you configure in the ECommerce Dashboard.
  • Customer billing country and state or province generally determine which Sales Tax lines can apply.
  • County-specific tax only uses the county Sales Tax lines you have created.
  • The county dropdown at checkout only displays counties you have configured as Sales Tax lines.
  • Products sold through your website and Client Galleries use the tax setting assigned to the product.
  • Your Sales Tax settings can also determine whether shipping charges are included in the taxable subtotal.
  • Changes are applied when you click SAVE CHANGES. There is no separate publish button.

Troubleshooting and FAQs

Why isn't sales tax appearing when a customer purchases my product?

First, open the product and confirm that CHARGE TAX is set to YES.

Next, review the Sales Tax lines configured in your ECommerce Dashboard. The customer's billing information must match the location requirements of an applicable Sales Tax line.

If you are using county-specific tax, make sure you have created a Sales Tax line for that county and that the customer selected the applicable county during checkout.

Does PhotoBiz automatically determine the tax rate for my product?

No. PhotoBiz calculates tax using the Sales Tax lines you configure in the ECommerce Dashboard.

You are responsible for determining the tax rates and locations that apply to your business and entering those settings into your account.

Does creating a Sales Tax line automatically tax all of my products?

No. Sales Tax lines determine which tax rates can apply during checkout.

Each product that should be taxable must also have CHARGE TAX set to YES.

Can I have taxable and non-taxable products in the same account?

Yes. You can control CHARGE TAX individually for each product.

Leave CHARGE TAX set to NO for products that should not use your configured Sales Tax lines.

Can I enable sales tax on several products at once?

Yes. Product Bulk Actions allow you to change CHARGE TAX for multiple selected products.

Why isn't a county appearing in the county dropdown at checkout?

The county dropdown only displays counties you have configured as county-specific Sales Tax lines.

If you are required to collect tax for a county and it does not appear at checkout, review your Sales Tax settings and make sure you have created a Sales Tax line for that county.

Does PhotoBiz automatically add every county in my state?

No. PhotoBiz only displays the county-specific Sales Tax lines you have configured.

If you are required to collect tax in multiple counties, you are responsible for creating the appropriate Sales Tax lines for those counties.

How do I know which products or tax rates I should configure?

Tax requirements vary based on your business, the products you sell, and where you are required to collect tax.

PhotoBiz provides tools for configuring and calculating sales tax using the Sales Tax lines you enter. You are responsible for determining which taxes and rates apply to your business.
