Overview
PhotoBiz allows you to create county-specific Sales Tax lines when you need to charge a particular tax rate based on a customer's billing location. County-specific Sales Tax lines can be used with ECommerce, Quotes & Invoices, Scheduler, Form Payments, and Client Galleries.
This guide walks you through creating a county-specific Sales Tax line and explains how PhotoBiz determines when that tax applies. By the end, you will have a Sales Tax line configured for transactions with billing information that matches the country, state or province, and county you select.
PhotoBiz does not determine which tax rates your business is required to collect. Consult a qualified tax professional or your local tax authority to determine the rates and rules that apply to your business.
Before creating a county-specific Sales Tax line, determine the tax rate and county where you need to collect it.
The product, service, payment, or invoice item must also be configured to charge sales tax where applicable. Creating a Sales Tax line does not automatically make every transaction taxable.
Log in to your PhotoBiz account and click ECOMMERCE in the left-side menu.
This opens the ECommerce Dashboard, where you can access your payment and Sales Tax settings.
At the top of the ECommerce Dashboard, hover over PAYMENT and click TAXES from the dropdown menu.
This opens your Sales Tax settings, where you can review existing tax lines and create new ones.
Click NEW TAX LINE.
This opens the settings for creating a new Sales Tax line.
Enter a DESCRIPTION that clearly identifies the tax line. The description is customer-facing and appears on the order summary during checkout.
Enter the SALES TAX RATE as a percentage. For example, enter 7.25 for a 7.25% sales tax rate.
Under CHARGE SALES TAX FOR CUSTOMERS LOCATED IN:, select the appropriate country. Next, choose the specific STATE/PROVINCE where the county is located. The COUNTY TAXES (OPTIONAL) field only appears after you select a specific state or province instead of ALL.
Enter the county where this Sales Tax line should apply. The customer's billing country, state or province, and county must match the location configured on the Sales Tax line for the county-specific tax to apply.
Under APPLY SALES TAX TO SHIPPING?, select YES if shipping should be included in the taxable subtotal or NO if shipping should not be taxed.
After reviewing your settings, click ADD TAX LINE.
Your county-specific Sales Tax line is now available for applicable taxable transactions. PhotoBiz can apply the tax when the billing country, state or province, and county match the location configured on the Sales Tax line.
Repeat these steps for additional counties when you need to configure other county-specific tax rates. Before accepting live payments, test your setup using billing information that matches the county you configured and confirm that the expected tax appears.
PhotoBiz uses the billing information associated with a transaction to determine whether a county-specific Sales Tax line applies.
For the county tax to calculate, the billing information must match the location configured on the Sales Tax line:
During checkout, the customer's billing information must include the matching location.
For Quotes & Invoices, the billing information associated with the invoice must include the matching country, state or province, and county. If the county is missing or does not match the Sales Tax line, the county-specific tax may not be calculated.
The COUNTY TAXES (OPTIONAL) field is conditional.
If STATE/PROVINCE is set to ALL, the county field does not appear. Select a specific state or province to display COUNTY TAXES (OPTIONAL).
This allows you to create a Sales Tax line that applies only to customers whose billing information matches that state or province and county.
Creating a county-specific Sales Tax line determines the rate and location where the tax can apply. The item or payment must also be configured to charge sales tax.
Depending on where you collect payment, review the tax settings for your:
If the billing information matches your county Sales Tax line but tax is not appearing, confirm that the item or transaction is taxable.
The APPLY SALES TAX TO SHIPPING? setting controls whether shipping charges are included in the taxable subtotal.
Select YES when shipping should be taxed or NO when shipping should not be included in the taxable amount.
Sales tax requirements for shipping vary by location. Consult a qualified tax professional or your local tax authority if you are unsure whether shipping should be taxed.
Why don't I see the County Taxes option?
The COUNTY TAXES (OPTIONAL) field only appears when you select a specific STATE/PROVINCE.
If ALL is selected, choose the state or province where the county is located to display the county field.
Why isn't my county-specific sales tax being applied?
First, confirm that the product, service, payment, or invoice item is configured as taxable.
Next, check the billing information associated with the transaction. The billing country, state or province, and county must match the location configured on the county-specific Sales Tax line.
If the county is missing, incorrect, or does not match the Sales Tax line, the county-specific tax may not calculate.
What information is required for county tax on an invoice?
The billing information associated with the invoice needs to include the country, state or province, and county that match your Sales Tax line.
If sales tax is not appearing on an invoice, see Why Sales Tax Is Not Appearing on Your PhotoBiz Invoice.
Can I create tax lines for multiple counties?
Yes. Create the Sales Tax lines needed for each county where you collect a different tax rate.
Where can I learn about the other Sales Tax settings?
