Overview
PhotoBiz Forms allow you to send a form or contract directly to a client by email using the Email Invite option. This is helpful when you want one or more specific people to complete a form without adding it to your website navigation or sharing it publicly.
You can send an email invitation to an existing contact or enter a new email address during the sharing process. This guide walks you through how to send a form or contract by email invitation and how to check the invitation status later.
Email invitations are useful for sending contracts, questionnaires, waivers, applications, session forms, and other private forms.
If your client has previously unsubscribed from your emails, they will not receive the email invitation.
Before sending the invite, confirm that the client’s email address is correct. This helps prevent delivery issues caused by typos or outdated contact information.
To help with email delivery, you can ask your client to add the following PhotoBiz email address to their contacts or safe senders list:

This helps identify PhotoBiz email invitations as trusted messages in the recipient’s inbox.
Log into your PhotoBiz account and click FORMS in the left-side menu.
This will open your Forms Dashboard.
Click Forms at the top center of your Forms Dashboard.
This opens your list of forms and contracts so you can choose the item you want to send by email invitation.
Find or create the form or contract you want to send by email invitation.
You can search for the form by name, scroll through your existing forms, or create a new form if needed. Click the form name to open the Form Editor.
Click the SHARE button in the top right corner of the Form Editor.
This opens the sharing options for your form or contract.
Click EMAIL INVITE.
The Email Invite option allows you to send the form or contract directly to one or more recipients. You can choose someone already saved in your Contacts or enter a new email address if the person is not already in your contact list.
Add the recipients you want to send the form or contract to.
You can search for an existing contact or type a new email address into the recipient field. After you add the correct recipients, click CONTINUE.
Review and customize your email invitation before sending it.
You can update the sender details, subject line, and message before the invite is sent. This allows you to personalize the email and give your client any instructions they need before completing the form or contract.
When everything looks correct, click SEND.
After the invitation is sent, your client will receive an email with a link to complete the form or contract. You will also see a confirmation screen letting you know the invitation was sent.
Your client will receive an email invitation with a link to the form or contract. When they click the link, they can open and complete the form online.
This is a good option when you want to send a form directly to a client instead of making the form visible on your website.
You can check the delivery status of a form email invitation from the contact’s profile in your PhotoBiz account.
To review the invite status, click CONTACTS in the left-side menu, open the contact, and click Email Invite. This area shows the email invitations associated with that contact.

If a client says they did not receive the email invitation, first confirm that the email address was entered correctly.
Ask the client to check their spam, junk, promotions, or quarantine folder. Some email providers may filter automated emails, especially if the recipient uses a school, university, government, corporate, or organization-managed email address.
You can also ask the client to add emailsupport@mailbiz1.photobiz.com to their contacts or safe senders list. This helps their email provider recognize PhotoBiz email invitations as trusted messages.
If the invitation still does not arrive, use the direct share link instead. Go back to the form’s sharing options, copy the form link, and send it to the client directly from your own email account.
If the client has previously unsubscribed from your emails, they will not receive the email invitation.
If previous emails sent to the client were returned as non-deliverable, the email address may be listed as bounced and may not receive the invitation.
