How to Set an Expiration Date on a PhotoBiz Form

Overview

PhotoBiz Forms let you set an expiration date when you only want to accept submissions through a specific day. This is useful for contests, holiday sessions, event registrations, waitlists, limited-time promotions, and other forms with a deadline.

The form remains open through the expiration date you enter. At the end of that date, the form automatically closes and stops accepting new submissions. This guide walks you through finding the Expiration Date setting and applying it to your form.

STEP ONE

Log into your PhotoBiz account and click FORMS in the left-side menu.

This opens the Forms Dashboard.

STEP TWO

Click FORMS at the top center of the Forms Dashboard.

This opens your list of existing forms.

STEP THREE

Click the name of the form you want to add an expiration date to.

If you have multiple forms, categories, or pages of forms, use the search bar to locate the form you want to edit.

If you have not created your form yet, create a new form and open it in the Form Builder before continuing.

STEP FOUR

In the Form Builder, click the gear icon in the upper-right corner, then click SETTINGS.

This opens the settings for the form.

FINAL STEP

Locate the EXPIRATION DATE field and enter the date you want to be the final day the form accepts submissions.

Click SAVE CHANGES.

Your form will remain available through the expiration date you entered. At the end of that date, the form will automatically close.

What Happens When the Form Expires?

The expiration date is the final day visitors can submit the form. The form remains open throughout that date.

After the expiration date ends, new submissions are no longer accepted. Visitors who open the form will see a form closed message instead of the active form.

You do not need to manually return to the Form Builder at the end of the expiration date to close the form.

Expiration Date vs. Submission Limit

The Expiration Date and Submission Limit settings close a form in different ways.

  • Expiration Date: Keeps the form open through a specific date and closes it when that date ends.
  • Submission Limit: Closes the form after it receives a specific number of submissions.

Use an expiration date when your form has a deadline. Use a submission limit when availability depends on how many responses you receive.

For example, you might use an expiration date for holiday session registration that ends on December 1. You might use a submission limit when you only have 25 spots available.

Helpful Notes

An expiration date is useful when you want your form to close automatically without having to remember to disable it manually.

Before setting the date, consider when you want clients to have their final opportunity to submit the form. Because the form remains open through the entire expiration date, choose the actual last day you want to accept responses.

If you want to control what happens after someone submits the form, you can also use the form submission settings to configure options such as a thank you message, confirmation email, submission notifications, or a custom confirmation page.
