My Form Says It's Closed, How Do I Fix It

Why Does My Form Say “Form Closed”?

If a PhotoBiz form displays a “Form Closed” message, it usually means one setting is preventing new submissions. This does not typically indicate a system error. In most cases, the form is closed due to an incorrect link, an expiration date, a submission limit, a payment issue, or account limits.

This guide walks through the most common reasons a form may appear closed and how to reopen it.

Verify You Are Sharing the Correct Form Link

A “Form Closed” message can appear if the wrong or outdated link is being shared.

To confirm:

  • Click FORMS in the left-side menu

  • Open the form you want to share

  • Click the SHARE button

  • Either send the form using the email invitation option or copy the direct form link

Make sure the link matches the current version of the form.

Check the Form Expiration Date

Forms can be set to automatically close after a specific date.

To check the expiration status:

  • Click FORMS in the left-side menu

  • Locate your form in the list of forms and form categories

  • Review the Expiration column

To update the expiration date:

  • Open the form

  • Go to the Form Settings

  • Locate the Expiration Date field

  • Remove or update the date as needed

Save your changes, then refresh the form and test again.

Check Form Submission Limits

Forms can close automatically when a submission limit has been reached.

To check the submission limit:

  • Click FORMS in the left-side menu

  • Locate your form in the list

  • Review the Limit column

To update the submission limit:

  • Open the form

  • Go to the Form Settings

  • Locate the Submission Limit field

  • Increase the limit or remove it if needed

Save your changes, then refresh the form and test again.

Check Form Payment Block

If your form includes a payment block, the form may close if the connected merchant account is inactive or disconnected.

To check:

  • Open the form

  • Review the payment block

  • Confirm it is connected to an active merchant account

If the merchant is inactive, reconnect or replace it.

Check Submission Limits on Your Account

PhotoBiz accounts include 500 form submissions per month by default.

To check:

  • Go to your account home page

  • Review your current monthly form submission usage

If the limit has been reached, you can purchase additional submissions or wait for the count to reset on the 1st of the next month.

Guide: Add Additional Form Submissions

Check File Uploads and Storage

If your form includes a file upload field, insufficient storage space can prevent new submissions.

To check:

  • Open your account storage settings

  • Confirm you have available storage

If storage is full, you will need to add more space before submissions can resume.

Guide: Add Additional File Storage

Helpful Notes

  • When viewing FORMS, the list includes the following columns: Name, Created, Expiration, Limit, and Status

  • The Expiration and Limit columns show status only; changes are made in Form Settings

  • After making updates, clients may need to refresh the form page before submitting again

  • A new form link is not required once the issue is resolved
