Overview
You can upload PDF files to your PhotoBiz account and share them on your website for clients and visitors to access. This is helpful for price guides, session prep guides, welcome packets, contracts, style guides, menus, free downloads, and other documents you want to make available online.
This guide walks you through how to upload a PDF to the Documents section of your File Library. It also explains the different ways you can link to the PDF from your PhotoBiz website after it has been uploaded.
Before you begin, make sure your PDF file is ready to upload.
Your PhotoBiz Website Package allows files up to 4MB to be uploaded. If your PDF is larger than 4MB, you can compress the file before uploading it. If you need to upload files larger than 4MB, the Original Files upgrade allows files up to 50MB to be uploaded to your account.
Log into your PhotoBiz account and click FILES in the left-side menu.
This will open your File Library, where you can manage images, documents, videos, and other uploaded files in your account.
Click DOCUMENTS at the top of the Files section.
This will display the document files currently uploaded to your PhotoBiz account.
Upload your PDF file to the Documents section.
After the upload is complete, your PDF will appear in your File Library. If you have multiple documents in your account, use a clear file name so the PDF is easy to recognize later. For example, you may want to name the file something like 2026-wedding-pricing-guide.pdf or family-session-style-guide.pdf.
Copy the direct file URL for your PDF.
You will use this URL when linking the PDF from your website. After the link is added to your website, test it on your live site to make sure the PDF opens correctly.
Good to know: For buttons, list items, last item links, image block links, banner block links, and digital product downloads, you can select File in the Link To Section and select from your Documents for the link.
After your PDF is uploaded, you can share it in several different ways depending on your goal.
Add the PDF to a Button Block
A Button Block is one of the clearest ways to link visitors to a PDF. This works well for direct calls to action such as:
Add a Button Block to the page where you want the PDF link to appear. In the button settings, choose Link To, select File, and then choose your PDF from the file dropdown menu.

Link the PDF in Text Content
You can hyperlink text in a Text Editor Block or other editable text areas on your website. This is helpful when you want the PDF link to appear naturally inside a sentence or paragraph.
For example, you could write: “Download my full wedding pricing guide here.” Then you can hyperlink the words “wedding pricing guide” to your PDF file URL.

Add the PDF to a Text + Image Block
A Text + Image Block is helpful when you want to promote the PDF with a short description, an image, and a call-to-action button. This works well for style guides, welcome guides, lead magnets, client resources, and pricing guides.
You can link to the PDF in two ways inside a Text + Image Block. You can hyperlink text in the text editor area using the PDF file URL. You can also add a CTA button, choose Link To, select File, and then choose your PDF from the file dropdown menu.
The image in a Text + Image Block is used as supporting visual content. To send visitors to your PDF, use the text editor link or the CTA button link.

Use a Pop-Up and Form for Lead Generation
If your PDF is a free download, guide, checklist, or lead magnet, you may want to collect contact information before sharing it.
You can use a pop-up with a form to invite visitors to request the PDF. This can help you build your contact list while giving visitors access to a helpful resource.

Add the PDF as an External Link
You can also add your PDF file URL as an external link in areas of your website that support custom links. This is useful when you want to link directly to a PDF from navigation, page content, or another website section.

PDF files uploaded to Documents are stored in your File Library and can be linked from different areas of your website.
Use descriptive file names before uploading your PDF. A clear file name makes it easier to find the document later and can look more professional when someone opens or downloads the file.
Keep your PDF file size as small as possible while maintaining good quality. Smaller files load faster and are easier for clients to open on mobile devices.
Each PDF counts as 1 file toward the 5,000 files included with your PhotoBiz Website Package. If you no longer need a PDF, you can delete it from your File Library to remove it from your account.
If you update a PDF later, upload the new version and update any website links that point to the old file. This helps make sure visitors always see the correct version.
My PDF is too large to upload
If your PDF is larger than 4MB, compress the PDF and try uploading it again. If you need to upload files larger than 4MB, you can use the Original Files upgrade, which allows files up to 50MB to be uploaded to your account.
My visitors cannot find the PDF on my website
Confirm that the PDF link has been added to a visible area of your website, such as a Button Block, Text Editor Block, Text + Image Block, or pop-up. You should also test the link on your live website to make sure it opens correctly.
I uploaded a new version of my PDF, but my website still opens the old one
If you upload a new PDF as a separate file, make sure you update the link on your website to use the new file URL. The website will continue using the original link until you replace it.
I deleted my PDF from the File Library, and the website link no longer works
If you delete a PDF from your File Library, any website links pointing to that file will no longer work. Upload the PDF again or update the website link to point to a different file.
