PhotoBiz Website Package includes Quotes & Invoicing which allows you to send out price quotes and custom invoices to your clients. This guide will walk you through the steps on how to create a custom quote and send it to your client via email.
STEP ONE
Log into your PhotoBiz account and click on Quotes & Invoices in the left-side menu of your PhotoBiz control panel.
STEP TWO
Click the NEW QUOTE button to generate a new quote for your client. A unique quote number will be automatically generated in ascending order within your control panel.
STEP THREE
On this screen, you can see an overview of what your quote will look like in the middle and in the upper right, you’ll find options to edit, print, check the status of and send your quote. Click on Edit to add your line items and pricing to your quote.
PRO TIP!
You can also preview your quote by clicking on the gray URL under the quote number at the top.
STEP FOUR:
The right-side menu will open, click on new item to add your 1st line item to your quote. You can choose to add a custom item or any existing store items that you have already set up in eCommerce.
When selected, those items already have their corresponding cost, shipping and tax settings attached to them.
If you choose a custom item, you can fill in the item name, description, quantity, amount and if you want to apply your shipping and tax settings to them or not.
If you choose a Custom Item, you'll be able to configure the following options:
- ITEM NAME
- DESCRIPTION
- QUANTITY
- AMOUNT
- TOTAL
- SALES TAX
- SHIPPING
Click on add item at the bottom to add the custom item to your quote.
Pro Tip: You can use a Custom Item and use a negative dollar amount to apply a discount to a quote as well.
Adding existing store items will allow you to select from Prints, Products, Packages, and Services you've previously set up in your ECommerce.
As you add items to your invoice, you'll see what is currently listed before you send it to your client.
STEP FIVE
Once you’ve added your items that you want to provide a quote for, click on contact in the next section in the quote builder to add the contact that you’re sending the quote to. You can only send one quote to one contact at a time.
Click the new contact button to send the quote to a person who is not already in your PhotoBiz contact list or click the search bar to search for and add a contact that is already in your PhotoBiz contacts.
If you’re adding a new contact, fill in the information to create a new one. The email and state is mandatory. Once you’re done, at the bottom, click create contact in green.
If you’re searching for an already existing contact, just search their name or email and click on their contact to add them as the quote’s recipient.
Once you’ve added a contact, you can either edit the contact or click change contact to swap it for another. You’ll find these options near the top.
Your last interacted with contacts will show up in the list ready to go for you.
STEP SIX
If you need to include your shipping costs in your quote, you can click on the shipping icon. You'll see any existing shipping options you've set up in ECommerce. Choose your shipping method then save changes.
If you want to manage your shipping options, click the manage shipping button, this will redirect you to the shipping settings section of eCommerce.
STEP SEVEN
After adding your shipping, click on expires on date from the options on the left of the quote menu. This option controls how long this quote is valid until.
Choose your expiration date then save changes.
STEP EIGHT
If you want to add a custom note or terms to your quote, you can add it in the Other Details section. Click save changes if you make any edits.
STEP NINE
You can edit the thank you message that will appear after the quote is approved. The subject and message fields will control the message that is displayed on screen and if you choose to email a thank you message, your customer will get in their inbox. Click save changes if you make any edits.
You can take a look at your invoice prior to sending to your client.
STEP TEN
After you've had a chance to review your quote, you can click on the SEND button to send out the quote to your clients.
After you've sent your quote, you'll have a confirmation message and your client will be sent the custom quote via email.
