Overview
PhotoBiz Mailbox allows you to send and receive email using a branded email address connected to your domain. If you want to keep a local backup of your messages, you can archive your inbox using a third-party email client such as Microsoft Outlook, Apple Mail, or Thunderbird.
This guide explains what email archiving is, when it may be helpful, and where to find archive instructions for common email programs. Archiving can help you keep copies of older messages for future reference while managing your mailbox storage.
Before you begin, make sure your PhotoBiz Mailbox is already connected to the email client you plan to use.
You will also need access to that email program on your computer.
Microsoft Outlook, Apple Mail, and Thunderbird are not PhotoBiz products. PhotoBiz Support can help you confirm your mailbox settings, but we cannot provide direct support for the archive tools inside these programs.
For help using the archive feature in your email client, please contact the support team for that email program.
Log in to the email client you use to check your PhotoBiz Mailbox.
This may be Microsoft Outlook, Apple Mail on Mac, Thunderbird, or another email program you have connected to your PhotoBiz Mailbox. Make sure your inbox has fully synced before starting the archive process.
Review the archive instructions for your email client.
Each email program handles archiving differently. Use the instructions for the program you use to manage your PhotoBiz Mailbox.

Follow your email client’s archive steps to create a backup of your inbox messages.
Depending on the email program, you may be able to archive messages by date range, folder, mailbox, or account. Review the archive options carefully before moving or exporting messages.
Archiving may save a copy of your messages to your computer. In some programs, archiving may also move messages out of your inbox. Be sure to check the settings in your email client before completing the archive.
Confirm that your archived messages are available in your email client or saved backup file.
Once the archive is complete, open the archive location in your email program to make sure your messages are accessible. You should also confirm that any saved archive file is stored in a secure location on your computer or external backup drive.

My email client is not listed
You may still be able to archive your mailbox using another email program. Check that program’s help center or support documentation for instructions on archiving or exporting email.
I need help setting up my PhotoBiz Mailbox in an email client
PhotoBiz Support can help you locate your mailbox settings so you can connect your mailbox to an email client. Once the mailbox is connected, the email client’s support team can help with its archive tools.
My archive did not include all of my messages
Make sure your mailbox has fully synced in your email client before archiving. If only recent messages appear in your email program, check your email client’s sync settings.
