Overview
PhotoBiz Client Galleries records how clients interact with the gallery events you share. You can review image favorites, comments, free downloads, saved carts, and the dates associated with each client’s activity.
The Client Galleries Dashboard displays the 10 most recent activity records for quick access. The complete Activity section allows you to review all recorded activity, search for a specific client or event, change the sorting order, and export the activity displayed on the screen as a CSV file.
This guide explains how to find and review Client Galleries activity. It also covers how Email Collection affects activity tracking and when saved activity can be permanently removed.
Before you begin, you must have a Client Gallery event that a client has accessed or interacted with.
For the most complete activity tracking, enable Email Collection for the event. Email Collection requires visitors to enter an email address before accessing the gallery, allowing PhotoBiz to connect their activity to that address.
For setup instructions, see How to Collect Emails with Existing Client Gallery Events
Log in to your PhotoBiz account and select CLIENT GALLERIES from the left-side menu.
This opens the Client Galleries Dashboard, where you can manage your events, settings, orders, and client activity.
The dashboard also displays the 10 most recent Client Galleries activity records. You can select a recent activity record directly from the dashboard when the activity you need appears in this area.
Select ACTIVITY at the top center of the Client Galleries Dashboard.
This opens the complete Activity section. By default, activity is sorted by Last Saved, with the most recently updated records displayed first.
Each row represents activity associated with one contact or email address and one Client Gallery event. The same client may appear in multiple rows if they interact with more than one event or use different email addresses.
Find the activity you want to review.
Select the event name to open the complete activity details for that contact and Client Gallery event. To review one specific type of activity, select the number under Favorites, Comments, or Downloads.
For example, selecting the number under Favorites opens the images the contact marked as favorites. Selecting the number under Downloads opens their recorded download activity.
You do not need to search or change the sorting option to review activity. These tools are available when you need help finding a particular contact, email address, or event.
You can search by:
By default, the Activity section is sorted by Last Saved. You can change the sorting option to:
Sorting by Event can make it easier to review activity connected to a specific gallery.
Select EXPORT to download a CSV file containing the Client Galleries activity displayed on the screen.
A CSV file can be opened in spreadsheet applications such as Microsoft Excel, Apple Numbers, or Google Sheets. You can use the exported file to save, organize, or review activity outside your PhotoBiz account.
You can search or sort the Activity section before selecting EXPORT when you want the CSV file to reflect the records and order currently displayed.
Each activity record can contain different information based on how the client interacted with the event.
Event displays the name of the Client Gallery event associated with the activity record.
Select the event name to open the complete activity details for that contact and event.
Contact displays the name or email address associated with the activity.
Activity is connected to the email address entered while using the Client Gallery event. If the same client uses multiple email addresses, their activity may appear under separate records.
Favorites shows the number of images the client marked as a favorite.
Select the number under Favorites to review the image thumbnails and filenames. Available options may allow you to:
For complete instructions, see How to View Images Your Customers Favorite in Client Gallery Events.
You can also export the filenames and use them to locate the selected images in Adobe Lightroom. See How to Export Client Galleries Favorites to Adobe Lightroom.
Comments shows the number of messages the client left on individual images.
Select the number under Comments to read each message and view its associated image. You can reply through the Activity section, and the client will receive a branded email containing your response.
You can also respond through the email notification PhotoBiz sends when a client leaves a comment.
For complete instructions, see How to Reply to Comments Customers Leave on Images in Client Galleries Events.
Downloads shows files the client downloaded when free digital downloads are available for the event.
Download activity may include:
Select the number under Downloads to review the available filenames and download details.
For complete instructions, see How to See What Images Your Customer Downloads from a Client Galleries Event.
Paid digital image downloads are recorded as orders and do not appear as free download activity. Clients receive paid digital download links through their order receipt.
Created shows when the activity record was first created for the contact’s email address and Client Gallery event.
This is generally the first time PhotoBiz recorded the client accessing or interacting with that event using the associated email address.
Last Saved shows the most recent date the client completed an action that saved or updated their activity.
Actions that may update the Last Saved date include selecting favorites, leaving comments, downloading files, or changing the contents of a saved cart.
Client Galleries automatically saves items a client adds to their cart before completing an order.
Saved cart activity may include:
Open the complete activity details for the contact and event to review their saved cart. This can help you identify clients who selected items but did not complete checkout.
Completed purchases are recorded in Orders and are no longer treated as incomplete saved carts.
Email Collection requires visitors to enter an email address before accessing a Client Gallery event. This allows PhotoBiz to associate their gallery access and future activity with that address.
When Email Collection is not enabled, visitors may browse the event without identifying themselves. PhotoBiz may request an email address when a visitor performs an action that must be saved, such as:
Activity completed before an email address is entered may not appear in the Activity section.
Email Collection is also helpful when you assign an Email Automation Series to a Client Gallery event. The Client Galleries Event & Cart Reminder Series can send follow-up messages based on event access and saved cart activity.
For instructions, see How to Collect Emails with Existing Client Gallery Events
A client may have an activity record but show zero favorites, comments, or downloads.
This usually means the client accessed the event using their email address but did not complete those specific actions. A client can browse an event without selecting favorites, leaving comments, downloading files, or adding products to a cart.
The Activity section does not provide a complete list of every image a client viewed while browsing an event.
Before determining that activity is missing, search by the client’s name, email address, and Client Gallery event.
A client may not appear when:
If the same client uses multiple email addresses, their activity may appear under separate records.
Client Galleries activity does not automatically expire or disappear because it is old. Changing an event from active to inactive also does not remove its activity.
Activity remains available unless the related Client Gallery event, contact, or individual image is deleted.
Deleting a Client Gallery event permanently removes all activity associated with that event.
This may include:
The activity is removed for every client who interacted with the deleted event.
Making an event inactive does not remove its activity. The event must be deleted for all activity associated with it to be removed.
Deleting a contact permanently removes Client Galleries activity associated with that contact’s email address.
The activity is removed even when the related Client Gallery event remains in the account. This applies whether the event is active or inactive.
Deleting a contact does not delete the Client Gallery event or activity associated with other email addresses.
Deleting an image from a Client Gallery event permanently removes activity associated with that individual image.
This may include:
Activity associated with other images and other parts of the event remains available.
Deleted Client Galleries activity cannot be recovered. Review or export any important activity before deleting an event, contact, or image.
The Recent Activity area on the Client Galleries Dashboard displays the 10 most recent activity records. Select ACTIVITY at the top of the dashboard to review the complete activity list.
The CSV export contains the Client Galleries activity displayed on the screen when you select EXPORT.
Client Galleries activity does not expire. It remains available until the related event, contact, or individual image is deleted.
