How to Disable a Form Without Losing Submissions

There may be times when you no longer want a form to accept new submissions but still need to keep the contact details and responses you’ve already collected. PhotoBiz allows you to disable a form by setting an expiration date, which removes public access while preserving all existing data. This guide walks you through how to disable a form using the expiration date setting. By the end, your form will be inactive, and all prior submissions will remain safely stored in your account.

STEP ONE

Log into your PhotoBiz account and click FORMS from the left-side menu. This opens the Forms dashboard where all of your forms are listed.

STEP TWO

Locate the form you want to disable and click directly on the form name. This opens the form in the Form Builder. If you have multiple pages or categories of forms, you can use the search bar to find your form. 

STEP THREE

In the upper-right corner of the Form Builder, click the gear icon to open the form options. From the dropdown menu, select SETTINGS to access the form’s configuration panel.

STEP FOUR

In the settings panel, find the Expiration Date field and set the date to a day in the past. Once the date is set, click SAVE CHANGES to apply the update.

FINAL STEP

After saving, the form is immediately disabled. Visitors will no longer be able to access or submit the form, and anyone who attempts to open it will see a message indicating the form is no longer available. All existing form submissions and contact details remain stored in your account and can still be viewed at any time.

Additional Helpful Notes

  • Disabling a form does not delete it.

  • All submissions remain accessible from your Forms dashboard.

  • This is ideal for seasonal promotions, expired offers, or one-time event forms.

  • You can reactivate the form at any time by updating the expiration date to a future date.
