How to Set Limited Availability for a Recurring Scheduler Service

Overview

A Limited Schedule allows a recurring Scheduler service to use different weekly booking hours from your general Hours of Operation. This setting is helpful when a service is only available on certain days or during specific hours each week.

You only need to create a Limited Schedule when the service should not follow your standard availability. This guide shows you how to enable the setting, choose the available days and times, and save the updated service schedule.

STEP ONE

Log in to your PhotoBiz account and click SCHEDULER in the left-side menu.

This opens the Scheduler Dashboard, where you can manage your services, appointments, availability, and other booking settings.

STEP TWO

Click SERVICES at the top of the Scheduler Dashboard.

The Services section displays the Scheduler services currently available in your account.

STEP THREE

Click the name of the service you want to update.

The service editor will open in the right-side menu.

STEP FOUR

Click AVAILABILITY in the right-side menu to open the scheduling options for the service.

Locate the Limit Availability setting and select Limited Schedule. Additional scheduling options will appear below this setting.

FINAL STEP

Select each day of the week when the service should be available. Enter the available start and end times for each selected day.

Review the schedule, then scroll to the bottom of the right-side menu and click SAVE. The service will now only display booking times that fall within its Limited Schedule.

When to Use a Limited Schedule

Use a Limited Schedule when a service repeats weekly but is only offered during certain days or hours.

Examples include:

  • Consultations offered only on weekday mornings
  • Studio rentals available on Tuesdays and Thursdays
  • Ordering appointments offered during specific afternoon hours
  • Seasonal services that follow the same weekly schedule for a period of time
  • A service with fewer booking hours than your regular business schedule

How a Limited Schedule Works

Your general Hours of Operation provide the standard recurring availability for Scheduler services. A Limited Schedule overrides those hours for the specific service.

When you enable a Limited Schedule:

  • The service uses the weekly days and times entered in its Availability settings.
  • The service no longer follows your general Hours of Operation.
  • Other Scheduler services keep their existing availability settings.
  • Clients only see appointment times that fall within the Limited Schedule.
  • Changes to your general Hours of Operation do not affect the service while its Limited Schedule remains enabled.

Limited Schedule Versus Custom Dates

A Limited Schedule controls recurring weekly availability. It does not allow you to select individual calendar dates.

Use Custom Dates instead when a service is only available on specific dates, such as:

  • Holiday mini sessions
  • One-day events
  • Limited appointment dates
  • Sessions offered on different dates each month

Choosing the correct service schedule helps ensure clients only see the appointment times you intend to offer.

Return the Service to Your General Hours

To make the service follow your general Hours of Operation again, open the service and return to AVAILABILITY.

Change Limit Availability from Limited Schedule to No, then click SAVE. The service will begin using your general Scheduler availability.

Troubleshooting & FAQs

Clients Can Still See Unexpected Appointment Times

Confirm that the correct days and times are entered under Limited Schedule. Also verify that you clicked SAVE after making your changes.

Changes to Hours of Operation Are Not Affecting the Service

A service with Limited Schedule enabled does not follow your general Hours of Operation. Update the service’s Limited Schedule directly, or change Limit Availability to No.

You Need to Offer the Service on Specific Calendar Dates

A Limited Schedule repeats weekly. Create or use a service with Custom Dates when you need to select individual dates.
