How to use Gift Cards for Deposits

How to Create a Gift Card for a Client Gallery Order

If a client has prepaid for an order or paid a deposit, you can issue a gift card to apply that credit toward their Client Gallery purchase. Gift cards are an easy way to handle deposits, prepaid sessions, or manual credits without adjusting product pricing. This guide walks you through how to create a gift card and deliver it to your client so they can use it at checkout.

STEP ONE

Log Into Your PhotoBiz Account and click ECOMMERCE in the left-hand menu.

STEP TWO

Open the Gift Cards Section

At the top center of the ECommerce control panel, hover over SELL ONLINE, then click GIFT CARDS from the dropdown menu.

STEP THREE

Click the NEW GIFT CARD button to create a new gift card.

STEP FOUR

In the right side menu, enter the gift card information in the provided fields.
Add the amount of credit the client should receive, such as a deposit or prepaid total.
Enter a description for internal reference, such as Pre-paid Deposit for Caroline.

Click ADD GIFT CARD to generate the gift card.

You will see a confirmation message once the gift card is created and your gift card will appear at the top of your list of gift cards.

Where to Find Your Gift Card Info

The gift card will appear in your gift card list, which shows the following:

  • Number – The code your client will enter at checkout.
  • Description – Your internal label for the card.
  • Order No. – Will show only if the gift card was purchased (not manually created).
  • Created – The date the card was issued.
  • Amount – Total value of the card.
  • Balance – What’s left to spend.
  • Status – Whether the card is active or inactive.

💡 Pro Tip: Customize the Gift Card Code

Click the gift card number to change it to something simple — like “CAROLINE250” — to make it easier for your client to enter at checkout.

FINAL STEP

Send the Gift Card to Your Client

Locate the gift card in your gift card list. This screen shows the gift card number, description, created date, total amount, remaining balance, and status.

You can deliver the gift card to your client in one of two ways.

In the right side menu, click RESEND to email the gift card directly from PhotoBiz, or copy the gift card number and send it manually by email, text, or message.

Once your client has the gift card code, they can enter it at checkout in their Client Gallery to apply their credit.

Helpful Notes

Customize the Gift Card Code
You can click directly on the gift card number to edit it. Many photographers use simple, easy-to-type codes such as a client name and amount to reduce checkout errors.

Gift Card Order Number
The Order No. field will only appear for gift cards that were purchased online. Manually created gift cards will not display an order number.
