How to Fix Missing Sales Tax on Invoices

Why Sales Tax Is Not Appearing on Your PhotoBiz Invoice

Overview

If sales tax is not appearing on an invoice in PhotoBiz, the invoice may not meet the requirements of your ECommerce Sales Tax settings. PhotoBiz calculates sales tax using your configured Sales Tax lines, the tax settings for each invoice item, and the billing address of the contact receiving the invoice.

This guide explains how to review each part of the tax calculation and correct missing information. After completing these steps, sales tax should appear when the invoice items are taxable and the contact’s billing location matches one of your Sales Tax lines.

STEP ONE

Confirm Your Sales Tax Lines Are Set Up

Log in to your PhotoBiz account and click ECOMMERCE in the left-side menu.

At the top of the ECommerce Dashboard, click PAYMENTS, then select SALES TAX from the drop-down menu.

Review the Sales Tax lines configured in your account. These settings determine where you collect sales tax and the tax rate that PhotoBiz applies.

If you have not created a Sales Tax line, PhotoBiz cannot calculate or display sales tax on an invoice. See How to Add a Sales Tax Line to complete your tax setup before continuing.

Also confirm that the contact’s location is covered by one of your configured Sales Tax lines. If the contact is located outside the country, state, or county where you collect tax, the invoice may correctly display no sales tax.

STEP TWO

Open Quotes & Invoices

Click QUOTES & INVOICES in the left-side menu.

This opens the Quotes & Invoices Dashboard, where you can create and manage quotes, invoices, payments, and related settings.

STEP THREE

Open the Invoice

Click INVOICES at the top of the Quotes & Invoices Dashboard.

STEP FOUR

Locate the invoice where sales tax is missing, then click the invoice number to open it. You can also create a new invoice if you have not created one yet.

STEP FIVE

Confirm the Invoice Items Are Set to Charge Sales Tax

Review each item included on the invoice and confirm that it is set to charge sales tax.

PhotoBiz only calculates sales tax for invoice items that have sales tax enabled. If an item is not set to charge sales tax, PhotoBiz will not add tax to that item, even when the contact’s billing address matches one of your Sales Tax lines.

Update each applicable item so it is set to charge sales tax, then click SAVE CHANGES.

If an invoice contains both taxable and non-taxable items, PhotoBiz will only calculate tax for the items that are set to charge sales tax.

STEP SIX

Check the Contact’s Billing Address

Open the contact associated with the invoice and review the billing address.

The billing address must include the country and state required by your Sales Tax line. If the applicable Sales Tax line is configured by county, the correct county must also be selected.

PhotoBiz compares the contact’s billing location with the Sales Tax lines configured in your ECommerce settings. If the required country, state, or county is missing or does not match a configured Sales Tax line, sales tax will not appear on the invoice.

Enter or correct the required billing address information, then click SAVE CHANGES.

FINAL STEP

Confirm the Invoice Has Updated

After you click SAVE CHANGES in the contact record, PhotoBiz should automatically refresh the invoice and apply the appropriate sales tax.

Review the invoice and confirm that sales tax appears beneath the subtotal and is included in the total balance due.

If the invoice does not update automatically, click INVOICES at the top of the Quotes & Invoices Dashboard. Locate the invoice and click the invoice number again to reopen it. This should refresh the invoice using the updated contact and tax information.

How PhotoBiz Determines the Sales Tax Rate

Three parts of the invoice must work together before sales tax will appear:

  • You must have an applicable Sales Tax line configured in the ECommerce Dashboard.
  • The invoice item must be set to charge sales tax.
  • The contact’s billing address must match the location requirements of the Sales Tax line.

Depending on your tax setup, PhotoBiz may use the contact’s:

  • Country
  • State
  • County, when the Sales Tax line is configured by county

A county is not required when the applicable Sales Tax line only uses the country and state.

Troubleshooting Sales Tax That Still Does Not Appear

If sales tax is still missing, confirm the following:

  • At least one Sales Tax line has been created in the ECommerce Dashboard.
  • The Sales Tax line covers the contact’s billing location.
  • Each applicable invoice item is set to charge sales tax.
  • The contact’s billing address includes the correct country and state.
  • The correct county is selected when the Sales Tax line is configured by county.
  • You clicked SAVE CHANGES after updating the invoice item or contact.
  • You reopened the invoice after making the changes.

Sales tax will not appear when the invoice items are not taxable or when the billing location does not match any of the Sales Tax lines in your account.

Additional Helpful Notes

  • PhotoBiz calculates sales tax automatically according to your ECommerce Sales Tax settings.
  • An invoice can include both taxable and non-taxable items.
  • Updating the contact and clicking SAVE CHANGES should refresh the invoice automatically.
  • You can reopen the invoice from the INVOICES section if the tax amount does not update immediately.
  • The Sales Tax section of the ECommerce Dashboard includes reports to help you track the sales tax you have collected.
  • You are responsible for determining where your business must collect sales tax and which rates should be configured. Consult a qualified tax professional if you need help determining your tax obligations.
