Troubleshooting: Unable to Delete Emails in Your PhotoBiz Mailbox

Overview

If your PhotoBiz Mailbox is full, you may not be able to send or receive new emails until storage space is cleared. One of the best ways to free up space is to log into Webmail and delete older messages from your folders.

In some cases, deleted emails may reappear temporarily, or you may see an error when trying to delete messages. This guide explains the most common causes and how to fix them so you can begin clearing space in your mailbox.

STEP ONE

Log Into Webmail

Go to https://mailbox.photobiz.com and log in using your PhotoBiz Mailbox email address and password.

Once you are logged in, open the folder that contains the emails you want to delete. This may be your Inbox, Sent folder, Trash folder, or another folder inside your mailbox.

STEP TWO

Delete old emails from your Mailbox. 

Select the emails you want to remove, then delete them from the folder.

If your mailbox is close to full, it may be best to delete emails in smaller groups instead of deleting a full page or large batch at one time. This gives Webmail time to process the deletion and can help prevent delays.

STEP THREE

Wait if deleted emails reappear.

If deleted emails reappear in your inbox or another folder, Webmail may still be processing the deletion.

This can happen when you delete a large number of emails at once. In most cases, Webmail finishes processing within 30 to 60 minutes, and the deleted emails will disappear on their own.

You do not need to keep deleting the same emails repeatedly during this time. Give Webmail time to finish processing the request.

STEP FOUR

Update your delete settings if you see an Overquota error.

If your mailbox is full, you may see an error message when trying to delete emails.

A common error is:

[OVERQUOTA] Quota exceeded (mailbox for user is full)

This happens because Webmail is trying to move deleted emails to the Trash folder first. If your mailbox is already full, there may not be enough space to move messages into Trash.

To fix this, click the menu icon in the top-right corner of Webmail, then select Settings.

Under General Settings, turn off the options for moving deleted or purged emails to the Trash folder. Uncheck these settings:

  • Move deleted email to the Trash folder
  • Move purged email to the Trash folder

Save your changes after updating these settings.

FINAL STEP

Delete emails again to free up space.

After updating your delete settings, return to your mailbox and delete the emails again.

With these settings turned off, deleted emails will be permanently removed instead of being moved to Trash first. This frees up mailbox storage right away and can help restore your ability to send and receive emails.

Once enough space has been cleared, your mailbox should begin working normally again.

Additional Options or Helpful Notes

If your mailbox is full, start by deleting emails with large attachments. These usually free up the most storage space.

You may also want to check multiple folders, including:

  • Inbox
  • Sent
  • Drafts
  • Trash
  • Spam
  • Custom folders you have created

Deleting emails from only one folder may not free enough space if large messages are stored elsewhere.

If you changed your delete settings so messages are permanently removed, review emails carefully before deleting them. Permanently deleted emails cannot be recovered from the Trash folder.

Troubleshooting or FAQs

Why do deleted emails keep coming back?

This usually means Webmail is still processing the deletion. This is more common when deleting a large group of emails at once. Wait 30 to 60 minutes, then refresh Webmail and check again.

Why does Webmail show an overquota error when I delete emails?

When your mailbox is full, Webmail may not have enough storage available to move deleted emails into the Trash folder. Turning off the setting that moves deleted and purged emails to Trash allows messages to be permanently removed instead.

Should I delete emails in smaller groups?

Yes. If your mailbox is very full, deleting smaller groups of emails can make it easier for Webmail to process the changes.

Can I recover emails after turning off the Trash setting?

No. When deleted emails are permanently removed instead of moved to Trash, they cannot be recovered from the Trash folder. Only use this option when you are sure you want to permanently delete those emails.
