Overview
Every PhotoBiz Client Gallery event requires an expiration date, which controls how long clients can access the gallery. New events default to an expiration date 30 days after creation, but you can change that date to match your workflow. When an event expires, clients can no longer access it, but the event remains in your PhotoBiz account. This guide explains how to change an expiration date, reopen an expired gallery, and understand what happens to gallery access, emails, and orders.
Log in to your PhotoBiz account and click CLIENT GALLERIES in the left-side menu.
This opens your Client Galleries Dashboard, where you can manage events, settings, price lists, and gallery activity.
Click EVENTS at the top of the Client Galleries Dashboard.
This opens the list of Client Gallery events in your account.
Click the name of the event you want to update. If you have many categories or events, use the search bar to locate your event by name.
This opens the event details.
Click the GEAR ICON in the top-right corner of the event details page.
This opens the event settings.
Update the EXPIRATION DATE field. You can type the new date directly into the field or click the calendar icon to select a date.
Every event must have an expiration date. Select a future date to extend access or reopen an expired gallery.
Click SAVE CHANGES to apply the new date. If the event was expired, clients can access the gallery again.
When the Gallery Expires
A Client Gallery event expires at 12:00 AM at the beginning of the selected expiration date, using the time zone set on your PhotoBiz account.
For example, if you want clients to access a gallery through June 30, select July 1 as the expiration date. Selecting June 30 closes access at the beginning of June 30.
To review or update your account’s time zone, follow How to Change Your Account Time Zone.
After expiration, visitors who open the gallery link see a message indicating that the event has expired.
Updating an expired event to a future expiration date makes the gallery available again. You do not need to recreate the event.
Changing only the expiration date preserves the existing gallery link and password. Changing the event name may change the gallery link, and changing the password in the event settings changes the password clients need to enter.
Reopening a gallery does not automatically send clients an email. Let your clients know that their gallery is available again and share the updated deadline.
Can I leave the expiration date blank?
No. Every Client Gallery event requires an expiration date. If you want a gallery to remain available for an extended period, select a date farther in the future.
Will changing the expiration date notify my clients?
No. Updating the expiration date does not automatically send an email. Contact your clients if you want to let them know about an extended deadline or reopened gallery.
Will changing the expiration date start or resend email automations?
No. Changing the expiration date does not enroll clients in a new automation series or automatically resend previous emails. Clients already in an automation series continue within that series.
