Why Sales Tax Is Not Appearing on Your PhotoBiz Invoice

Overview

If sales tax is not appearing on a PhotoBiz invoice, the most common cause is missing billing location information for the contact assigned to the invoice. PhotoBiz uses the contact's billing location, your ECommerce sales tax lines, and the tax setting for each invoice item to determine whether sales tax should be charged.

At minimum, the contact must have the correct country and state selected. If your sales tax line is configured by county, the contact must also have the correct county selected.

This guide walks you through checking your sales tax settings, reviewing the contact's billing information, confirming that invoice items are taxable, and verifying that sales tax calculates correctly.

Prerequisites

Before you begin, you need at least one sales tax line configured in your PhotoBiz ECommerce settings.

If you have not created one yet, see How to Add a Sales Tax Line.

STEP ONE

Log in to your PhotoBiz account and click ECOMMERCE in the left-side menu.

At the top of the ECommerce Dashboard, click PAYMENTS, then click SALES TAX from the drop-down menu.

Review your existing sales tax lines and confirm that you have a tax line for the location where you need to collect sales tax. Pay attention to whether the tax line is based on country and state or includes a specific county.

If the contact's billing location does not match one of your configured sales tax lines, sales tax will not be added to the invoice.

STEP TWO

Click QUOTES & INVOICES in the left-side menu.

This opens the Quotes & Invoices Dashboard, where you can create and manage your quotes and invoices.

STEP THREE

Click INVOICES at the top of the Quotes & Invoices Dashboard.

This displays the invoices in your account.

STEP FOUR

Locate the invoice where sales tax is not appearing, then click the invoice number to open it.

Review the contact assigned to the invoice. PhotoBiz uses the billing information for this contact when determining whether an applicable sales tax line should be used.

STEP FIVE

Open the contact associated with the invoice and review their billing information.

The most common reason sales tax does not appear on an invoice is that the contact does not have the required location information selected.

If your sales tax line is based on country and state, the contact must have the correct country and state selected in their billing information.

If your sales tax line is configured for a specific county, the contact must have the correct country, state, and county selected. All three location fields must match the applicable sales tax line for PhotoBiz to calculate the tax correctly.

Enter or correct any missing billing information, then click SAVE CHANGES.

STEP SIX

Return to the invoice and review each line item that should be taxed.

Confirm that each applicable invoice item is set to charge sales tax. PhotoBiz only calculates sales tax for items that are configured as taxable.

If an invoice contains both taxable and non-taxable items, sales tax will only be calculated for the taxable items.

Make any necessary changes to the invoice items, then click SAVE CHANGES.

FINAL STEP

Review the invoice total after confirming the contact's billing information and the tax settings for the invoice items.

When the contact's billing location matches an applicable sales tax line and the invoice contains taxable items, the sales tax amount should appear beneath the subtotal and be included in the final balance due.

If you updated the contact information and the tax amount does not appear immediately, return to INVOICES, locate the invoice, and click the invoice number again to reopen it and review the updated calculation.

How PhotoBiz Determines the Sales Tax Rate

Three parts of the invoice must work together before sales tax will appear:

  • An applicable sales tax line must exist in your ECommerce settings.
  • The contact's billing location must match that sales tax line.
  • The invoice item must be set to charge sales tax.

For sales tax lines based on state, the contact generally needs:

  • Country
  • State

For sales tax lines configured by county, the contact needs:

  • Country
  • State
  • County

If a required location field is missing, PhotoBiz may not be able to match the contact to the correct sales tax line.

Troubleshooting Sales Tax That Still Does Not Appear

The contact is missing billing information

This is the most common cause of missing sales tax on an invoice.

Confirm that the contact has the correct country and state selected. If your sales tax line is configured by county, confirm that the correct county is selected as well.

The billing information is complete, but tax is still missing

Confirm that the contact's billing location actually matches one of the sales tax lines configured in your ECommerce settings.

For example, if your tax line only applies to a specific state or county, a contact outside that location may correctly receive an invoice without sales tax.

Only some invoice items are being taxed

Review the tax setting for each invoice item.

An invoice can contain both taxable and non-taxable items. PhotoBiz only includes items that are set to charge sales tax when calculating the tax amount.

I updated the contact, but the invoice has not changed

Make sure you clicked SAVE CHANGES after updating the contact.

Then return to INVOICES and reopen the invoice so you can review the current tax calculation.

Additional Helpful Notes

  • Creating a sales tax line does not automatically make every invoice taxable.
  • The contact's billing location must match the location defined by an applicable sales tax line.
  • Country and state are required for location matching when the tax line uses those settings.
  • County is also required when the applicable sales tax line is configured by county.
  • An invoice can contain both taxable and non-taxable items.
  • PhotoBiz calculates sales tax based on the settings configured in your account, but you are responsible for determining where your business is required to collect tax and which rates should be used.
