How to Download a QR Code for a Client Gallery Event in PhotoBiz

Overview

A QR code gives customers a quick way to open a Client Gallery event by scanning an image with their phone camera. You can add the QR code to printed materials, emails, digital guides, social media graphics, and other customer communications.

PhotoBiz automatically creates a QR code for each Client Gallery event. This guide explains how to find the QR code, download it as a PNG image, locate the downloaded file, and test it before sharing or printing it.

Prerequisites

Before you begin, you must have a Client Gallery event in your PhotoBiz account.

STEP ONE

Log in to your PhotoBiz account and select CLIENT GALLERIES from the left-side menu.

This opens the Client Galleries Dashboard, where you can manage your gallery events, settings, orders, and sharing options.

STEP TWO

Select EVENTS at the top center of the Client Galleries Dashboard.

This opens the list of Client Gallery events in your account.

STEP THREE

Find the Client Gallery event you want to share. Use the search field if you have multiple events and need to locate the event by name.

Click the event name to open its event details.

STEP FOUR

Click SHARE at the top right of the event details page.

The sharing panel will open on the right side of your screen.

STEP FIVE

Click the Share Arrow section in the right-side panel.

The QR code option appears below the social media sharing icons. Select DOWNLOAD QR CODE to download the QR code as a PNG image.

Your browser determines where the file is saved. Depending on your browser settings, the PNG may save automatically to your default Downloads folder or you may be prompted to choose a location.

FINAL STEP

Open the downloaded QR code image and scan it with your phone camera.

Confirm that the QR code opens the correct Client Gallery event. You can then add the PNG image to printed or digital materials that you share with your customers.

Always test the final version of the QR code after placing it in a flyer, sign, email, or graphic. This confirms that resizing, printing, or formatting has not affected how the code scans.

Ways to Use Your Client Gallery QR Code

You can place the downloaded QR code anywhere customers may need quick access to your Client Gallery event, including:

  • Event signage
  • Flyers
  • Business cards
  • Welcome packets
  • School picture day materials
  • Sports team order forms
  • Wedding or event cards
  • Printed gallery instructions
  • Emails and digital guides
  • Social media graphics

The QR code can continue to be used as long as the Client Gallery event link remains the same.

Password-Protected Client Galleries

The QR code opens the Client Gallery event link. It does not remove or replace the event’s password settings.

Customers may still need to enter a password after scanning the QR code if the event is password protected. Include the password separately in your customer instructions when appropriate.

Renaming an Event After Downloading the QR Code

Renaming a Client Gallery event changes the event link and may cause a previously downloaded QR code to stop working.

Customers who scan an outdated QR code may see your branding with the following message:

Invalid Event
Please contact your service provider for more information

After renaming an event, return to the event’s Share panel and download a new QR code. Replace the previous QR code anywhere it was printed, posted, emailed, or shared.

Example of the Invalid Event message that may appear when an outdated QR code is scanned.

Before Sharing Your QR Code

Before distributing the QR code, confirm that:

  • The QR code opens the correct Client Gallery event
  • The event is active and ready for customers
  • The event has not expired
  • The correct images are available
  • The event’s password and privacy settings are correct
  • The QR code scans from the final printed or digital material

Test the QR code again whenever you rename the Client Gallery event or replace the QR code in a new design.

Frequently Asked Questions

Where is my downloaded QR code?

Your browser determines where downloaded files are saved. Check your computer’s default Downloads folder or open your browser’s recent downloads list.

If your browser is configured to ask where files should be saved, you will be prompted to choose a folder when you select DOWNLOAD QR CODE.

What can I use a Client Gallery QR code for?

You can use the QR code anywhere customers may need quick access to the gallery. Common examples include flyers, event signage, school picture day handouts, sports team materials, business cards, emails, and client guides.

Does the QR code replace the gallery password?

No. The QR code opens the Client Gallery event link. Customers may still need to enter a password based on the event’s password settings.

What happens if I rename the Client Gallery event?

Renaming the event changes its link and may cause a previously downloaded QR code to stop working.

Download a new QR code from the event’s Share panel and replace the old version anywhere it was used.

Can I resize the QR code?

Yes. Resize the image proportionally so it remains square. Do not stretch, distort, or tightly crop the QR code.

Test the resized version before printing or sharing it.

Can I send the QR code digitally?

Yes. You can attach the PNG image to an email, add it to a digital guide, include it in a social media graphic, or place it in another file you share with customers.

Can I share the gallery without using a QR code?

Yes. The QR code is one of several sharing options. From the event’s Share panel, you can also copy the gallery link, send an email invitation, share the event on social media, or create a blog post from the Client Gallery event.
