Overview
You can use PhotoBiz ECommerce and Client Galleries to sell digital files that you will retouch before delivering them to your customer. To set up this workflow, you will create a custom Print Size that represents the retouched digital file and add it to the Price List assigned to your Client Galleries event.
When a customer places an order, the order will identify the images they selected (file name and thumbnail). You can then retouch those images, upload the completed files to the customer’s Client Galleries event, and email them a secure download link.
The Print Size created in this guide is used as an ordering option so you can identify which images the customer purchased. It does not represent a physical print.
Before you begin, make sure you have:
Log in to your PhotoBiz account and select ECOMMERCE from the left-side menu. This opens the ECommerce Dashboard, where you can create the ordering option, manage Price Lists, and review customer orders.
Hover over SELL ONLINE at the top center of the ECommerce Dashboard. Select Prints from the drop-down menu.
The Prints section displays the active and inactive Print Sizes saved in your account.
Select NEW PRINT SIZE. A panel will open on the right side of your screen.
Enter a clear name in the Print Size field that tells the customer they are purchasing a retouched digital file. For example, you could enter Retouched Digital File or Digital File with Professional Retouching.
Enter the amount you want to charge for the digital file and retouching service. Choose whether tax applies, leave the additional shipping charge at zero, and set Active to Yes.
Select CREATE PRINT SIZE to save the new ordering option.
Although you create this option in the Prints section, it represents a digital file only. You will manually retouch and deliver the completed file after the customer places the order.
Hover over SELL ONLINE and select Price Lists. Open the Price List used by the Client Galleries event.
Add the new retouched digital file option to the Price List. Review its price and availability, then select SAVE.
Creating the Print Size does not automatically make it available to customers. You must add it to a Price List before it can appear in a Client Galleries event.

Select CLIENT GALLERIES from the left-side menu to open the Client Galleries Dashboard. Select Events, then open the event where you want to sell retouched digital files.
Confirm that the Price List containing your retouched digital file option is assigned to the event. Scroll to the bottom of the Event Settings and select SAVE CHANGES after making any changes.
Your customer can now select an image from the event and purchase the retouched digital file option.

After the customer completes the purchase, return to the ECommerce Dashboard and open Orders. Locate and open the customer’s order.
Review the order to see which images the customer selected and how many retouched digital files they purchased. Use the image filenames or other identifying information shown in the order to make sure you edit the correct files.
The completed digital files are not delivered automatically. The order records the customer’s selections so you can retouch and deliver each purchased image manually.
Open each selected image in your preferred editing software and complete the retouching included with the purchase.
Save each completed image using a clear filename that distinguishes it from the original file. Keep the original filename or image number in the completed filename when possible. This will help you match each retouched image to the customer’s order.
Return to the Client Galleries Dashboard and open the customer’s event. Create a new gallery within the event using a name such as Retouched Images, Final Images, or Digital Downloads.
Upload the completed retouched images to the new gallery.
Using a separate gallery keeps the completed files organized and makes it easier to send only the purchased images to your customer.
Only upload the files to the same event when it belongs to one customer or household. If unrelated customers can access the event, create a separate private Client Galleries event for the completed files.
Open the gallery containing the completed retouched images and use the digital download email option to send the files to your customer.
Confirm the customer’s email address and send the download email. The customer will receive an email containing a secure link they can use to download the completed files.
PhotoBiz will package the available images into a .zip file when the customer downloads them. The emailed download link remains valid for seven days. If the link expires, you can send a new download email from the Client Galleries event.
The customer will receive:
.zip file containing the completed retouched imagesThe download email is sent separately from the original ECommerce order confirmation.
Your available upload size depends on the services included with your account:
If a retouched image is larger than your available upload limit, reduce the file size or add the Original Files upgrade before uploading it.
Use a clear name such as Retouched Digital File so customers understand that they are purchasing a digital file and will not receive a physical print.
Include your normal retouching turnaround time in the Client Galleries event instructions or in a follow-up message after the customer places the order.
Clearly explain what your retouching service includes. Depending on your workflow, this may include:
Keep the original images in the event until you have completed and delivered the retouched files. This allows you to compare the completed images with the selections shown in the customer’s order.
If a customer purchases more than one file, confirm that the number of completed retouched images matches the quantity shown in the order before sending the download email.
The customer cannot see the retouched digital file option
Confirm that the Print Size is set to Active, added to the correct Price List, and that the Price List is assigned to the Client Galleries event.
The order did not automatically send the digital file
This workflow requires manual delivery. The ECommerce order identifies which images the customer purchased. You must retouch the selected images, upload the completed files to Client Galleries, and send the customer a download email.
The customer expected a physical print
Rename the ordering option so it clearly states that the purchase is for a retouched digital file. Avoid including physical dimensions, such as 8x10, unless the customer is also receiving a printed product.
The customer’s download link expired
Return to the gallery containing the completed files and send another download email. The new email will include a new seven-day download link.
The completed file will not upload
Check the file size. Files larger than 4 MB require the Original Files upgrade, which supports individual files up to 50 MB.
The event contains images for multiple customers
Do not upload a customer’s completed images to an event that unrelated customers can access. Create a separate private Client Galleries event for the final delivery.
