Overview
PhotoBiz Client Galleries allow you to create private galleries where your clients can view, favorite, comment on, download, or order images from their session. Each Client Gallery event must have an expiration date, but you can set that date to be as short or as long as you need for your workflow.
By default, new Client Gallery events are set to expire 30 days from the creation date. You can update the expiration date at any time.
When a Client Gallery event expires, it is no longer available on your website, but it is not automatically deleted from your PhotoBiz account. You can update the expiration date later if you want to make the gallery available again.
Log in to your PhotoBiz account and click CLIENT GALLERIES in the left-side menu.
This opens your Client Galleries Dashboard, where you can manage your gallery events, settings, price lists, and Client Galleries activity.
Click EVENTS at the top of the Client Galleries Dashboard.
This opens the list of Client Gallery events in your account.
Click the name of the event you want to update. If you have many categories or events, you can use the search bar to locate your event by name.
This opens the event details for that Client Gallery event
Click the GEAR ICON in the top right of the event details page.
This opens the event settings for the gallery.
Update the Expiration Date field.
You can type the new expiration date directly into the field or click the calendar icon to choose a date from the calendar. The expiration date can be as short or as long as you need, but every Client Gallery event must have an expiration date set.
After you select the new expiration date, click SAVE CHANGES.
Your updated expiration date will be saved, and the Client Gallery event will remain available until the new expiration date.
A Client Gallery event expires at midnight, 12:00 AM, on the expiration date you selected.
After the event expires, visitors will no longer be able to access the gallery from your website. Instead, they will see a message letting them know the event has expired.
Expired events are not automatically deleted from your PhotoBiz control panel. You can return to the event settings at any time, update the expiration date to a future date, and click SAVE CHANGES to make the gallery available again.
You can use expiration dates to match your studio workflow. For example, you may want a proofing gallery to expire after two weeks, a school gallery to remain available for several months, or a wedding gallery to stay open for a year or longer.
If you use Client Galleries Email Automations, reminder emails are based on the event’s expiration date. When you change the expiration date for an event, the timing of any expiration-based reminder emails will also update based on the new date.
If you want clients to place orders from the gallery, make sure the expiration date gives them enough time to review their images and complete their purchase before the gallery expires.
If a client contacts you after their gallery has expired, you do not need to recreate the event. You can update the expiration date on the existing event and save your changes.
Why does my Client Gallery event need an expiration date?
Every Client Gallery event must have an expiration date so the system knows how long the gallery should remain available on your website. You can choose a short-term or long-term expiration date depending on your needs.
Can I leave the expiration date blank?
No. Each Client Gallery event must have an expiration date set. You can choose a date far in the future if you want the gallery to remain available for a longer period of time.
Will PhotoBiz delete my event after it expires?
No. PhotoBiz does not automatically delete expired Client Gallery events from your control panel. The event will no longer be accessible on your website, but you can still manage it in your PhotoBiz account.
Can I reopen an expired Client Gallery event?
Yes. Open the event settings, update the expiration date to a future date, and click SAVE CHANGES. The gallery will become available again.
What happens if someone visits an expired gallery link?
They will see a message indicating that the event has expired.
Will changing the expiration date affect reminder emails?
Yes. If you use Client Galleries Email Automations, expiration-based reminder emails use the event’s expiration date. If you change the expiration date, the timing of those reminder emails will update based on the new date.
