How to Cancel a Client’s Appointment in PhotoBiz Scheduler

Overview

You can cancel an upcoming client appointment directly from your PhotoBiz Scheduler. Canceling the appointment removes it from your active schedule, makes the time available for booking again, and automatically sends the client a cancellation email.

Before canceling, consider whether you only need to change the appointment date or time. If the client still plans to use the service, rescheduling is usually the better option, especially when the appointment has already been paid for.

This guide explains how to cancel an appointment, what happens afterward, and what you need to know about payments and refunds.

Before You Cancel: Consider Rescheduling

If your client still wants the appointment but needs a different date or time, you do not need to cancel the appointment and have them book again.

Use the RESCHEDULE option instead. Rescheduling keeps the existing appointment together and allows you to move a paid service to another available date and time without requiring the client to place another order.

Important Information About Canceling Appointments

Before canceling an appointment, keep the following in mind:

  • Canceling an appointment cannot be undone.
  • Canceling makes the appointment time available for booking again.
  • Your client automatically receives a cancellation email.
  • The canceled appointment remains available in your appointment reporting with a Canceled status.
  • Canceling an appointment does not automatically refund a payment or deposit.
  • If a refund is needed, you must process it separately through the merchant account that received the payment.

If the client only needs a different appointment time, rescheduling is generally more efficient than canceling and creating a new booking.

STEP ONE

Log in to your PhotoBiz account and click SCHEDULER in the left-side menu.

This opens your Scheduler Dashboard, where you can manage your appointments, services, availability, and Scheduler settings.

STEP TWO

At the top of the Scheduler Dashboard, hover over TRACKING and click APPOINTMENTS.

Use the calendar to locate the appointment you want to cancel. Click the Service/Time for the appointment to open its details.

STEP THREE

Review the appointment information to make sure you have opened the correct booking. You can review details such as the service, client information, payment information, and appointment notes.

When you are ready to proceed, click CANCEL.

FINAL STEP

The Appointment Cancellation confirmation will appear. Review the cancellation information carefully, then click Yes, cancel this appointment.

The appointment is now canceled and the original time slot becomes available for booking again.

What Happens After You Cancel an Appointment

After the cancellation is completed:

  • The client automatically receives a cancellation email at the email address associated with the appointment.
  • The appointment appears with a Canceled status in your Appointments reporting.
  • The appointment time becomes available for another booking.
  • Any payment or deposit associated with the appointment remains unchanged unless you separately process a refund.

Client Notification

Your client automatically receives a cancellation email at the email address they used on file to schedule the appointment.

Payments and Refunds

Canceling an appointment in PhotoBiz Scheduler and refunding a payment are separate actions.

If your client paid for the appointment online, PhotoBiz Scheduler does not automatically issue a refund when you cancel the booking. If you choose to refund the payment or deposit, log in to the merchant account that processed the transaction and complete the refund there.

If the client still intends to use the paid service, consider rescheduling the existing appointment instead of canceling it. This allows you to move the appointment without requiring the client to complete another order.
