Overview
PhotoBiz Client Galleries records activity when clients interact with the gallery events you share. You can review client favorites, comments, free downloads, saved carts, and the dates associated with their activity.
The Client Galleries Dashboard displays your 10 most recent activity records for quick access. The complete Activity section lets you review all recorded activity, search for a specific client or event, change the sorting order, and export the activity displayed on the screen as a CSV file.
This guide walks you through finding Client Galleries activity, understanding the information recorded for each client, and troubleshooting missing activity.
For the most complete activity tracking, enable Email Collection for your Client Gallery events. See How to Collect Emails with Existing Client Gallery Events.
Log in to your PhotoBiz account and click CLIENT GALLERIES in the left-side menu.
This opens the Client Galleries Dashboard, where you can manage your events, settings, orders, and client activity.
The dashboard also displays the 10 most recent Client Galleries activity records. If the activity you need appears in this area, click the activity record to open it directly.
Click ACTIVITY at the top center of the Client Galleries Dashboard.
This opens the complete Activity section. By default, activity is sorted by Last Saved, with the most recently updated records displayed first.
Each row represents activity associated with one contact or email address and one Client Gallery event. The same client may appear in multiple rows if they interact with more than one event or use different email addresses.
Find the activity you want to review and click the event name to open the complete activity details for that contact and Client Gallery event.
To review one specific type of activity, click the number under Favorites, Comments, or Downloads. For example, clicking the number under Favorites opens the images the client marked as favorites. Clicking the number under Downloads opens their recorded free download activity.
You can return to the complete Activity section at any time to review another client or event.
Use the search and sorting tools when you need to find activity for a specific client, email address, or Client Gallery event.

Click EXPORT to download a CSV file containing the Client Galleries activity displayed on the screen.
A CSV file can be opened in spreadsheet applications such as Microsoft Excel, Apple Numbers, or Google Sheets. You can use the exported file to save, organize, or review activity outside your PhotoBiz account.
You can search or sort the Activity section before clicking EXPORT when you want the CSV file to reflect the activity currently displayed on the screen.
Each activity record can contain different information based on how the client interacted with the event.
Event displays the Client Gallery event associated with the activity record.
Click the event name to open the complete activity details for that contact and event.
Contact displays the name or email address associated with the activity.
Activity is connected to the email address the client entered while using the Client Gallery event. If the same client uses multiple email addresses, their activity may appear under separate records.
Favorites shows the number of images the client marked as favorites.
Click the number under Favorites to review the associated image thumbnails and filenames. From the Favorites activity, available tools allow you to review selections, copy or export filenames, print the favorites list, and send the selected images as digital downloads.
For more information, see:
Comments shows the number of messages the client left on individual images.
Click the number under Comments to read each message and view its associated image. You can reply through the Activity section, and the client will receive a branded email containing your response.
For complete instructions, see How to Reply to Comments Customers Leave on Images in Client Galleries Events.
Downloads shows files the client downloaded when free digital downloads are available for the event.
Download activity may include:
Click the number under Downloads to review the available filenames and download details.
For complete instructions, see How to See What Images Your Customer Downloads from a Client Galleries Event.
Paid digital image downloads are recorded as orders and do not appear as free download activity. Clients receive paid digital download links through their order receipt.
Created shows when the activity record was first created for the contact's email address and Client Gallery event.
Last Saved shows the most recent date the client completed an action that saved or updated their activity.
Actions that may update Last Saved include:
Client Galleries automatically saves items a client adds to their cart before completing an order.
Saved carts may contain:
Open the complete activity details for the contact and event to review their saved cart. This can help you identify clients who selected items but did not complete checkout.
Completed purchases are recorded as orders and are no longer treated as incomplete saved carts.
If you want PhotoBiz to automatically follow up with clients based on gallery and saved cart activity, see How to Assign an Email Automation Series to a Client Galleries Event.
Email Collection requires visitors to enter an email address before accessing a Client Gallery event. This allows PhotoBiz to associate their gallery access and future activity with that email address.
When Email Collection is not enabled, visitors can browse the gallery without identifying themselves. PhotoBiz may request an email address when the visitor performs an action that needs to be associated with a contact, such as:
Activity completed before an email address is provided may not appear in the Activity section.
Email Collection is also recommended when using Client Galleries Email Automations because PhotoBiz must have the visitor's email address before automation emails can be sent.
For setup instructions, see How to Collect Emails with Existing Client Gallery Events.
A client may have an activity record while showing zero favorites, comments, or downloads.
This generally means PhotoBiz has associated the client's email address with the event, but the client has not completed those specific actions. A client can access and browse a gallery without selecting favorites, leaving comments, or downloading files.
The Activity section does not provide a complete list of every image a client viewed while browsing an event.
Before determining that activity is missing, search by the client's name, email address, and Client Gallery event.
A client may not appear when:
If the same client uses multiple email addresses, their activity may appear under separate records.
Client Galleries activity does not automatically expire because it is old. Making an event inactive also does not remove its activity.
Activity can be permanently removed when the related Client Gallery event, contact, or individual image is deleted.
Deleting a Client Gallery event permanently removes all activity associated with that event, including activity such as:
The activity is removed for every client associated with the deleted event.
Making an event inactive does not remove its activity.
Deleting a contact permanently removes Client Galleries activity associated with that contact's email address.
The related Client Gallery event and activity associated with other contacts remain available.
Deleting an image from a Client Gallery event permanently removes activity associated with that individual image, which may include:
Activity associated with other images and other parts of the event remains available.
Deleted Client Galleries activity cannot be recovered. Review or export any important information before deleting an event, contact, or image.
